What our systems actually do.
Real systems running real businesses. Here are a few of them, each with a number and the way we got it.
One system to run 180 staff, replacing six disconnected tools.
The situation
A provider of extracurricular programs for thousands of students at schools across Melbourne, Adelaide, Sydney and Brisbane. Demand was high, and in a compliance-heavy sector, every bit of growth added operational complexity.
What we built
An enterprise operations platform that replaced six disconnected software-as-a-service tools, covering enrolments, payments, staffing, scheduling, communications, reporting and governance, all for parents, teachers, coaches, admins and management.
The numbers
How we got there
Thirteen role-based permission levels and a full audit trail. Automated compliance checks and staff inductions, including Working with Vulnerable People checks and insurances. More than 9% of transactions are self-service. None of this came from cutting staff. The system took on the coordination work that used to eat people's day.
"They took six disconnected platforms and turned them into one system to run the entire business: enrolments, payments, scheduling, reporting and governance."
More systems we run
Consulting
Timesheets were done by hand and retyped into invoices. We built self-service timesheets and automated the invoicing.
Research
The papers sat in a PDF library nobody could search properly. We built a document platform with a secure AI search interface that answers only from the papers.
Online events
When COVID stopped in-person competition, we built a live online platform. It has run for more than four years with no downtime.
What clients say
"UpScale took the time to understand our unique needs and delivered a system that feels like it was built just for us. It's streamlined our processes and freed up hours every week."
"The platform UpScale built has transformed the way we manage everything day-to-day. It's simple, reliable, and has made growth so much easier to handle."
Businesses doing $5–50M in revenue, and especially those around $15M.
You already have a working model, and you're running it, not testing it. Owners who've been through a custom software build before and know the real cost isn't the build.
